Job Description for Agency Operations Leader
Job Title: Agency Operations Leader
Job Category: Exempt
Location and Work Type: In-person/Hybrid (Full-time)
Travel Requirements: Occasional travel to client sites, caregiver locations, and partner meetings.

Job Purpose:

The Agency Operations Leader is responsible for overseeing the day-to-day operations of Utopian Care Agency, ensuring that the agency runs smoothly, efficiently, and delivers high-quality care to clients. This role is pivotal in ensuring the operational success of the agency, including marketing, caregiver documentation, customer satisfaction, and collaboration with clinical teams. The Agency Operations Leader works closely with the New Business Development Manager to drive the agency’s growth and market positioning. The Agency Operations Leader plays a vital role in ensuring the Utopian Care Agency operates at the highest level of service quality. This role not only manages day-to-day operations but also contributes to business growth and client satisfaction, ensuring caregivers are supported and compliance standards are met.

Key Responsibilities

  1. Agency Operations Oversight:

  • Manage and oversee the day-to-day operations of the Utopian Care Agency, ensuring all activities are aligned with organizational goals. 

  • Ensure caregivers are efficiently scheduled, assignments are made, and agency operations run smoothly.

  • Develop and implement processes to maintain operational efficiency, ensuring compliance with relevant regulations and company standards.

 2. Marketing and Business Development:

  • Work with the New Business Development Manager to develop and execute marketing strategies to promote the Utopian Care Agency’s services. 

  • Contribute to the creation of marketing materials, outreach campaigns, and sales strategies to drive new business.

  • Establish relationships with potential clients, healthcare providers, and other business partners to expand the agency’s reach and customer base.

 3. Customer Satisfaction:

  • Ensure high levels of customer satisfaction by conducting regular check-ins with clients and their families, addressing concerns, and making necessary adjustments to care plans. 

  • Regularly assess the quality of care being provided, ensuring that customer expectations and needs are consistently met or exceeded.

  • Collaborate with the clinical team, including the Clinical Leader and Home Health Nurse, to address any issues and ensure continuity of care.

 4.  Caregiver Documentation and Compliance:

  •  Oversee caregiver documentation, ensuring that all required paperwork, certifications, and training records are complete and up to date.

  • Manage caregiver files and ensure they are properly documented and maintained for compliance with healthcare regulations. 

  • Ensure caregivers are properly trained and equipped with the necessary tools to provide the highest standard of care.

 5. Collaboration with Clinical Team:

  • Work closely with the Clinical Leader, Home Health Nurse, and other clinical staff to ensure that care plans are effectively executed and that caregivers are receiving the appropriate clinical support.

  • Facilitate regular team meetings to discuss patient care, address any challenges, and ensure alignment between the clinical and operational teams.

 6. Team Leadership and Support:

  • Provide leadership and support to the caregiving staff, ensuring they have the necessary resources, guidance, and motivation to perform their roles effectively. 

  • Conduct regular performance evaluations for caregivers and support their ongoing professional development. 

  • Address any operational or staffing issues that arise, collaborating with the Operations Manager and HR Coordinator as needed.

 7. Quality Assurance and Continuous Improvement:

  • Ensure that all operational processes are aligned with Utopian Healthcare’s core purpose of preventing avoidable harm and improving healthcare quality and safety. 

  • Conduct regular quality assurance checks, ensuring that service delivery meets high standards of care.

  • Identify areas for improvement and develop strategies to optimize care delivery and operational processes.

 8. Other Duties and Responsibilities:

  •  Perform additional duties and responsibilities as assigned by leadership, which may include tasks outside the primary scope of this job description, to meet organizational goals and ensure the delivery of high-quality care. 

  • Demonstrate flexibility and adaptability in responding to changes in workload, priorities, and organizational needs. 

  • Actively contribute to a positive and collaborative work environment, supporting team efforts and organizational initiatives.

  • Uphold the organization's mission, vision, and values by maintaining a high standard of professionalism, ethical conduct, and commitment to excellence.

  • Customer Satisfaction: High levels of client and family satisfaction, measured through regular feedback and surveys.

  • Caregiver Performance: Timeliness and accuracy of caregiver documentation, training compliance, and performance reviews.

  • Marketing Success: Growth in new business, client acquisition, and market penetration.

  • Operational Efficiency: Streamlined agency operations, minimal disruption, and high service delivery standards.

  • Collaboration: Successful partnership and communication with the clinical team to ensure smooth care delivery.

Required Skills and Competencies:

  • Proven experience in operations management, preferably in healthcare or home care services. • Strong leadership and team management skills.

  • Excellent communication and interpersonal skills, with the ability to interact
    effectively with clients, caregivers, and clinical teams.

  • Ability to manage multiple priorities, think critically, and solve problems proactively.

  • Knowledge of healthcare regulations and industry best practices.

  • Strong organizational skills with a keen attention to detail.

  • Marketing and business development experience preferred.
